Reservation & Rental Procedures

How do I reserve a room through the Academic Scheduling Office (ASO)?

  1. Submit a request using our online reservation request form
    1. If you are a member of a Student Organization, you must be an authorized scheduler.
    2. If you are an outside organization (either non-profit or government), you must have a GW sponsor. Confirmation of sponsorship can be sent by the GW department to sched@gwu.edu or faxed to (202) 994-4448.
  2. Your request will be processed within two business days. Once you have received a "CONFIRMED" email from us, congratulations, your room is confirmed. Check below for any other steps you might need to take:
    1. If you need technology, complete and return the form sent to you by Academic Technologies (acadtech@gwu.edu). Check with them to see if your requested technology is available. The use of technology may incur charges from AT. Email or call them at (202) 994-7900 with questions.
    2. Request George Washington University Police Department (GWPD) security if the building is closed. You can make your request on the GWPD web site.
    3. Outside organizations must submit payment by date on the invoice (including non-refundable 50% deposit and final payment).
    4. If you are an outside organization and want to have access to GWireless, your GW sponsor needs to send an email to ithelp@gwu.edu with the following requested information. The request must come from an @gwu.edu email address:
      1. Wireless Event Name
      2. User Name
      3. Password (the GW sponsor chooses the password; 8 characters or more)
      4. State Date
      5. End Date
    5. If you want to rent extra tables, please contact the MSSC or Facilities (two weeks notice is generally required):
      1. Student Organizations should complete the MSSC request form
      2. GW Departments and outside organizations contact Mona Bernard at (202) 994-5421 or mbernard@gwu.edu
    6. If your event is being held in Gelman Library, please see their web site for additional policies:
      1. Photography Request form
      2. Off-campus groups needing access to Gelman Library should email entranceservices@library.gwu.edu with the reservation number and a list of all attendees. Government-issued photo ID will be required to enter.
  3. Feel free to contact us with any questions at (202) 994-4915 or sched@gwu.edu. NOTE: There is no day-of event support.
  4. If you need to cancel a reservation, please email us with your reservation number at least five days in advance.
